How much does it cost to have an exhibition stand built?
The price of an exhibition stand depends on the stand space, the design, the materials and the venue. At GM Productions, we prepare a quotation based on your stand space and the layout you have in mind.
Lighting, furniture, prints, transport and installation also affect the total price. A modular rental stand can be an attractive way to limit costs without compromising on appearance. With a floor plan, dimensions and an approximate budget, we can work out a proposal tailored to your needs. You will receive a tailored proposal within 48 hours.
Can I rent a complete exhibition stand from GM Productions?
Yes, at GM Productions you can rent a complete exhibition stand, from the structure and walls to the lighting and furnishings. We have our own large stock of modular materials.
We design the stand according to your brand identity and the available space. After the fair, we dismantle the stand and take the rented materials back with us. So you do not need to buy or store a stand structure yourself.
What is the difference between a modular exhibition stand and a custom-built stand?
At GM Productions, a modular exhibition stand consists of reusable components that can be combined and finished differently each time. With traditional custom-built stands, more components are produced specifically for a single design.
GM Productions deliberately combines modular systems with bespoke elements, textile prints and a variety of finishes. As a result, a modular stand does not have to look like a traditional shell-scheme stand at all. A striking or exclusive look is also possible.
Can I have a modular exhibition stand designed in our own brand identity?
Yes, GM Productions designs modular exhibition stands in line with your company’s brand identity and image. The structure is reusable, but the visual appearance can be fully customised.
We work with printed panels, textile banners, lighting and bespoke elements, among other things. This gives your stand its own identity, while the base remains flexible for future trade fairs.
Can you also build a small exhibition stand of 9, 12 or 18 m²?
Yes, GM Productions builds both small and large exhibition stands. Even for a stand of 9, 12 or 18 m², we can provide a practical and well-presented layout and furnishings.
With smaller stands, making good use of the available space is essential. We look at which elements are really needed, such as a counter, storage area, screen or seating area. Thanks to our modular systems, we can tailor the layout and furnishings to the stand space and budget.
Price, budget and comparison
Is renting an exhibition stand cheaper than buying one?
Renting an exhibition stand is often financially more attractive than buying, especially if you exhibit at multiple trade fairs or your stand changes regularly. At GM Productions, you pay for the use of the rented structure, without having to invest in all the materials yourself.
If you buy your own stand, you also have to take storage, maintenance, transport and any modifications into account. When you rent, we maintain the structure and furniture. We store your bespoke elements and personalisation, such as bespoke woodwork, wall finishes, prints and 3D logos, free of charge until your next trade fair. Which option is most cost-effective depends on the number of fairs and the total costs, but our experience shows that renting is the most advantageous option in most cases.
What is included in the price of an exhibition stand?
At GM Productions, you receive a clear, detailed quotation, so you know which materials and services we provide and what is included. We also always put practical arrangements in writing, so everyone is aware of the schedule.
The quote usually includes the 3D design, the stand structure, flooring and carpet, lighting, prints, furniture, transport, installation and dismantling. The stand space itself and technical services such as electricity, water, rigging points, internet and cleaning are ordered separately from the trade fair organiser. We are, of course, happy to help with these arrangements. We guide you through the technical requests and, where possible, prepare the necessary documents and orders. Often, all you need to do is approve them and pay the organiser directly.
Can I still have a professional exhibition stand built on a limited budget?
Yes, GM Productions can also create a well-presented exhibition stand on a more limited budget. A modular rental stand is often a good solution.
We look at which elements matter most for your participation and where the layout and furnishings can be simplified. By reusing existing materials and investing selectively in the visible elements, we keep costs under control.
Why hire a stand builder instead of building an exhibition stand yourself?
GM Productions, as a professional stand builder, takes care of the design, technical preparation, materials, transport and installation. We have our own materials, our own vehicles and experienced stand builders to do just that.
You do not need to buy a structure, find people for the installation or store the materials after the fair. In the design, we also take the technical regulations of the venue into account. This lets you focus on your trade fair participation.
Is a modular exhibition stand less attractive or lower in quality than a custom-built one?
No, at GM Productions, a modern modular exhibition stand can have the same polished, high-end look as a traditional custom-built stand. GM Productions combines modular structures with finishes tailored to the design.
With large textile prints, integrated lighting and bespoke elements, the possibilities are much broader than with traditional shell-scheme stands. The big advantage is that the base structure can be reused and adapted afterwards.
Design and preparation
How does the design and construction of an exhibition stand work at GM Productions?
GM Productions guides your trade fair project from the first briefing to installation and dismantling. We start from your wishes, the available stand space, the venue and the budget.
Based on this, we prepare a design and quotation. After approval, our designers and technical staff prepare the project in detail. Our own stand builders then take care of transport, installation and dismantling.
What information do you need to prepare a quote for an exhibition stand?
To prepare an accurate quotation, GM Productions needs at least the name of the trade fair, the stand dimensions, the stand number, the number of open sides and your wishes for the layout and furnishings. An indicative budget also helps us develop a suitable proposal from the outset.
Think in advance about storage, a counter, seating, screens, product displays and the look you want. Do you already have a floor plan or technical information from the organiser? Please send it through. As soon as we have your details, you will receive a proposal within 48 hours.
Can I see a 3D design of my exhibition stand first?
Yes, every GM Productions client receives a 3D design of their exhibition stand. This gives you a clear idea of the layout, colours, prints and furnishings in advance.
Our designers develop the proposal based on the briefing and the available stand space. Any changes can be discussed before the design is finalised.
Can I reuse my existing exhibition stand or my own materials?
Yes, GM Productions is happy to look at which existing materials can be reused. These might include prints, furniture, displays or other purchased items.
We check whether they fit technically and visually into the new design. Purchased elements from previous projects can also be used again. The rented structure remains the property of GM Productions and is reassembled for each trade fair.
Can you also provide lighting, screens, suspended structures and furniture?
Yes, in addition to the stand itself, GM Productions can include lighting, screens, suspended structures and furniture in the design. This ensures all components are well matched.
We work with LED lighting, Prolyte or truss structures, natural elements such as wood and plants, textile prints and various types of exhibition furniture, among other things. We also look at what is possible for specific technical or visual applications. Not all components necessarily come from our own stock.
Timing, build-up and support
How far in advance should I order an exhibition stand?
Ideally, contact GM Productions as soon as your participation and stand space are confirmed. The sooner we can start, the more room there is for design, material planning and technical preparation.
The preparation time needed depends on the size and complexity of the stand. The organiser’s deadlines also play a role, for example for electricity, rigging points and technical drawings. Ordering in good time can also help you avoid extra costs and last-minute changes.
Can you still build an exhibition stand at short notice?
In some cases, GM Productions can also deliver an exhibition stand at short notice. Thanks to our large in-house stock, our own production and our own permanent stand builders, we can respond quickly.
Whether a last-minute request is feasible depends on the date of the fair, availability and the complexity of the design. Send us the trade fair details and your wishes, and we will see what is possible.
Who takes care of the installation and dismantling of my exhibition stand?
GM Productions takes care of both the installation and dismantling of your exhibition stand. Our own permanent stand builders set up the stand according to the approved plans and agreements.
We also organise the transport of the materials. After the fair, we dismantle the stand and take the rented components back with us. So you do not need to be on site for the installation or dismantling.
We want to demonstrate large machines or exhibit heavy equipment. How is that arranged?
For large machines or heavy equipment, GM Productions plans the installation of the stand around the placement of your products.
You arrange the transport of the machines yourself. After all, you know your product and how to handle it best. At many venues, you can hire a forklift through the organiser to unload and position your machines.
In consultation with the trade fair organiser, we draw up a suitable schedule. For example, we first lay the carpet, build part of the stand and provide the necessary connections for electricity, compressed air or internet. Then the machines are positioned and we finish the stand.
Sometimes an extra, earlier installation day is needed, which you can request from the organiser in certain cases.
Do I need to be present during the installation of my exhibition stand?
No, with GM Productions you do not need to be present during the installation of your exhibition stand. Thanks to clear plans, 3D visualisations, quotes and written agreements, our stand builders know exactly what needs to be done.
We make sure the stand is built according to the agreements made. Some clients like to drop by for a stand handover, but that is certainly not required. If you wish, we will agree on a handover time in advance.
What if something breaks or needs to be changed on my stand during the fair?
In case of technical problems or unexpected changes, you can contact GM Productions. We will then look for a solution as quickly as possible.
Thanks to our own materials, transport and experienced staff, we can respond in a practical and efficient way. The options and speed of an intervention naturally depend on the venue, the nature of the problem and availability.

If you are not familiar with European trade fairs, you also receive practical guidance. We help you find your way through the technical regulations, the deadlines and the orders with the trade fair organiser, for example for electricity or rigging points. That way, you do not have to figure everything out yourself from abroad.
Do we need to ship our own exhibition stand to Europe?
No, that is usually not necessary: GM Productions has its own large stock of stand materials and can provide the structure, prints, lighting and furniture locally.
Thanks to our own print studio, we can produce the graphics in Belgium. We deliberately work with local partners: this supports the local economy and allows us to respond quickly when something unexpected happens. You only need to bring or have your products and promotional materials delivered. This saves transport costs, customs procedures and the risk of damage in transit.
Can you build or develop an existing stand design?
Yes, GM Productions can create a completely new design or build on an existing one. That might be a design from your head office, your marketing agency or a previous exhibition stand.
We look at how we can realise the design with our systems and materials, and adapt it where necessary to the stand space and the trade fair regulations. This way, you keep the same recognisable look at every trade fair, even when you exhibit in different countries.
What does working together look like if our company is not based in Belgium?
Working with GM Productions can easily be done remotely, by phone, email or video call. If distance allows, we are also happy to visit you, preferably within Belgium. You receive a clear quote, plans and agreements, so you know in advance exactly what will be built.
You do not need to be present during the installation. Our own stand builders set up the stand according to the approved plans, so everything is ready when you arrive. If you prefer to come by beforehand for a handover, we will arrange a time.

Can I use the same exhibition stand at different trade fairs?
Yes, at GM Productions a stand concept can be reused at multiple trade fairs. Thanks to the modular structure, the stand can be adapted to a different stand space or layout.
Certain prints, furniture and purchased bespoke elements can also be reused if they suit the new design. We store your bespoke elements and personalisation free of charge between trade fairs. So you do not have to start from scratch for every fair.
Is a modular exhibition stand a sustainable choice?
At GM Productions, a modular exhibition stand can be a sustainable choice because the base structure is used again and again. GM Productions works with reusable systems that are reassembled for different clients and trade fair projects.
This means a completely new structure does not have to be produced for every fair. Where possible, we also look at reusing prints and other materials. The total environmental impact does, however, depend on factors such as material use, transport and the lifespan of the components.
